Executive Support Specialist

I. Position Purpose/Scope:
o Provides administrative support directly to an executive, Vice President with confidentiality, tact and diplomacy. Assists Plant Spartanburg's President, as needed.
o Manages office activities for the Vice President without supervision.
II. Position Responsibilities/Accountabilities:
o Prepares documents such as an agenda, notices, minutes and presentations for Senior Management Meetings.
o Uses business software applications (e.g. word processing, presentations and spreadsheets to repares routine and advanced correspondence including memoranda, letters, presentations and reports.
o Arranges complex and detailed travel plans and itineraries, and compiles documents for travel-related meetings.
o Processes P.O.'s and requisitions in SAP.
o Interfaces with BMW AG.
o Screens incoming phone calls and correspondence, and prioritizes and responds independently, when possible.
o Schedules and organizes activities such as meetings, meeting documentations, and video conferences.
o Updates targets the BMW Target Management System.
o Serves as primary Time Administrator for the VP area.
o Assist with department budget, training records, travel arrangements, expense reports, office supplies and record retention.
o Handles confidential information and material.
o Supports other Vice Presidents and serves as proxy for other Executive Support Specialist.
o Performs other duties as assigned by BMW MC Operations Supervisor.Estimated Salary: $20 to $28 per hour based on qualifications.
